Executive Assistant

The EA is essential to the smooth running of the San Francisco and Los Angeles offices, being the first point of contact and participate in multiple internal projects to help build our culture to support our brand. You will support the west coast senior leadership team of 5.

  • Be the first point of contact, working with senior management. and maintaining close relationships with clients, partner agencies within the WPP network and all our studios worldwide
  • Manage the efficient running of a busy diary across several different time zones, ensuring that you will be on time and armed with the correct information in advance any meeting or call
  • Manage all emails and creating a daily reminder on applicable emails
  • Plan international travel
  • Manage all the correspondence and administration, including some personal work
  • Create and produce presentations (advanced PowerPoint skills are necessary)
  • Prepare a daily list of follow up/action items
  • Manage expenses where necessary
  • Take and transcribe minutes of meetings (including Board meetings)
  • Draft communication and correspondence
  • Conduct desk research as directed to support client assignments and speaking engagements
  • Partner with the other EAs in the group

So, what are we looking for?

  • Minimum four years of EA experience in a professional agency/creative environment
  • Must be IT literate, demonstrating advanced skills in Outlook, Excel (printing spreadsheets), PowerPoint and Word
  • 1+ years experience planning complex travel itineraries
  • Have previously worked across international time zones
  • Ability to be tenacious and work efficiently under pressure and maintain a professional disposition
  • An interest in the business evidenced by reading incoming material and thereby remaining informed as to the current issues
